Medical Admin Responsibilities:
Experience: Minimum of 5 years as Office Assistant/Office Administration. Previous experience in clinic or hospital workplace welcome. This position reports to IH/Occupational Health Superintendent.
General Job Responsibilities:
Medical Appointment Scheduling, Reminders, Follow-ups
Assist with Clinic Metric Reports and Updates
Filing/Scanning Medical Files
Managing Inventory/ Ordering Medical Supplies
Medical Surveillance Testing: PFT, Respiratory Fit Testing, Vision Testing, EarFit Testing
Drug & Alcohol Testing
Support NP, RN, LVN with daily clinic activities, as needed
Must be able to work with all MS Office software products. Excellent organizational and time management skills required. Must be willing to work in a fast paced, team environment where detail is critical to maintain compliance requirements.
Detailed Responsibilities:
*Scheduling of physicals, RTW's, injury F/U's, lab redraws, FCE's, any offsite referrals (stress tests, chest x-rays, ENT visits)
*Run reports for annual CXR, FCE, or stress tests needs to facilitate timely scheduling
*Run recall reports weekly for scheduling purposes
*Close out all physicals and enter data into Cority
*Scan and/or file all physicals
*Upload labs daily into Cority & print for NP; bring abnormal labs to NP for review
*Prepare physical packets (cover sheet listing requirements, lab requisitions) day prior
*Prepare physical packets with labs for NP visits day prior
*Send out questionnaires for surveillances
*Upload questionnaires daily
*Schedule new hire physicals (local and offsite)
*Maintain inventory of supplies weekly
*Reorder supplies as needed
*Send out reminders for appointments and any missing questionnaires
*Call employees and/or their supervisors that do not show for scheduled visits
*Mark status of all employees on schedule (arrived, no-show, cancelled)
*Enter contractor demographic data into Cority and add all walk-ins onto the day's schedule
*Perform drug screening as a back-up
*Update DMT daily & send to supervisor
*Organize and label cabinetry detailing supplies
*Housekeeping
*Manage incoming charts from other facilities and transfer charts for employees that separate from CB facility
